The Doctors Company is currently seeking a Part-Time Administrative Assistant to join our team. This is part-time position that will work 3 days per week.

 

Position Mission

This role provides administrative support to the Regional Admin Services & Facilities Manager answering/routing telephone calls, and other department support as assigned.  Works under immediate supervision and follows standard procedures to accomplish tasks. 

 

Qualifications

  • High School Graduate required.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to type 45-55 wpm accurately.
  • Ability to use computer and Microsoft Office software products.
  • Ability to use standard office equipment.
  • Ability to work with diverse personalities.
  • Ability to file alphabetically/numerically/chronologically/by color code.
  • Good organizational skills; exhibits accuracy when working with details.
  • Good communication and active listening skills.
  • Ability to exchange information clearly and concisely, present ideas, and report facts and other information.
  • Ability to manage own work flow and resolve questions and problems with supervisor.
  • Ability to set priorities and maintain accuracy while meeting deadlines.
  • Ability to complete projects on time and budget.
  • Ability to handle multiple projects.
  • Ability to maintain confidentiality of information processed, as appropriate.
  • Ability to multi-task

 

Responsibilities

 

Customer Service           

  • Maintain professional and effective working relationships with employees at all levels of the organization always
  • Maintain professional and effective relationships with vendors and external customers

 

Vendor Relations

  • Maintain interaction between vendors and internal stakeholders to provide adequate communication

 

Administrative Support

  • Greet employees and guests, as well as answers telephone calls, while maintaining TDC customer service standards
  • Assist employees and guests with finding available conference rooms and confirms requests
  • Comply with front desk security procedures ensuring only designated individuals enter the building
  • Provide support to Facilities Manager as needed

 

Mailroom Operations

  • Provide backup support to mailroom staff
  • Adhere to mailroom guidelines including US Postal rates and regulations
  • Sort, prep, and scan paper documents
  • Follow retention guidelines for destruction of paper documents

 

Other duties as assigned

  • Work on various projects and assignments delegated by management
  • Participate actively and provide updates to leadership on assigned projects within given deadlines
