The Doctors Company is currently seeking an experienced Executive Assistant to support our Northeast Region SVP/ Regional Operating Officer and the Northeast Region Underwriting team. 

 

POSITION SUMMARY:

Under general supervision, performs standard and advance secretarial duties for Officers of the company. This position has contacts with executives, employees, customers, and vendors.

 

PRIMARY DUTIES AND RESPONSIBILITIES:

  1. Disposes of matters of a routine nature to conserve supervisor’s time.
  2. Collects information needed by supervisor for conferences and reports – Generates routine departmental reports.
  3. Create meeting agendas and provide meeting minutes.
  4. Makes travel arrangements as required.
  5. Uses word processing equipment or PC in performing assigned tasks.
  6. Performs specialized clerical duties that require frequent exercise of    independent judgment and thorough understanding of applicable procedures.
  7. Assists in answering the phones and routing calls for the underwriting department.
  8. Works on special projects.
  9. Processes all bill payments.
  10. Handles all filing tasks for underwriting file documentation.
  11. Completes mail-handling tasks including sending, opening, sorting for supervisor.
  12. Creates excel reports, charts, and graphs
  13. Create PowerPoint presentations. 
  14. Creates department expense reports. 
  15. Provides service to achieve customer satisfaction.
  16. Orders supplies for the regional underwriting office staff.
  17. Generate routine underwriting reports for staff.
  18. Performs other duties as required.

 

EDUCATION (AND/OR EQUIVALENT EXPERIENCE) REQUIRED:

High school diploma required

 

WORK EXPERIENCE REQUIRED:

Three (3) years of administrative work of increasing responsibility.

 

SKILLS/KNOWLEDGE/ABILITIES REQUIRED:

  1. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
  2. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
  3. Ability to solve practical problems and deal with a variety of set variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  4. Ability to type 50-55 wpm accurately.
  5. PC experience, preferably working with databases, Lotus 123, and/or Microsoft Word.
  6. Proficient in using Excel to create graphs and charts.
  7. Ability to communicate in a professional and helpful manner with diverse personalities.
  8. Excellent grammar, spelling and proofreading skills.
  9. Ability to manage multiple tasks, prioritize and meet strict deadlines
  10. Ability to create power point presentations.
  11. Ability to travel if necessary.

 

PHYSICAL DEMANDS:

Constant:  Sitting; seeing, talking; listening; using hands to finger, grasp, reaching, handle, or feel.

Occasional: Standing, carrying; walking; stooping or crouching; kneeling or crawling; lifting up to 20 lbs.; pulling or pushing; traveling; may carry a laptop up to 10 lbs.

 

WORKING CONDITIONS:

Work is mainly performed in a normal office environment unless travel is required. Noise levels are usually moderate.

Mainly only those present in a normal office setting unless travel is required.
