The Doctors Company Patient Safety team is looking for an experienced CPE Coordinator to join the team. This role is based in our Napa, CA headquarters.
Position Mission
Provides direct member support and trains others to provide support for educational activities. Works in consultation with CPE Director and CPE Manager to develop educational activities in compliance with accreditation requirements and TDC protocols. Works with external organizations that are joint providers for CME activities. Works with Marketing to promote educational activities in print media and on the TDC website. Serves as administrator for applications that support educational program development and delivery. Reports directly to the CPE Manager.
Qualifications
- Bachelor’s degree preferred
- Ability to use a computer and advanced knowledge of Word, Excel, PowerPoint, and Outlook applications
- Ability to use and deliver training to employees on learning management, project management, and audience response software systems, and video conferencing.
- Ability to design and format routine and custom reports for internal use
- Ability to assess customer needs and implement timely resolution or referral to the appropriate person for resolution.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Ability to write professional e-mail correspondence.

Responsibilities
Policies & Procedures Development/Maintenance
- Collaborates on the development of relevant policies & procedures
- Contributes to planning and implementing improvements in the process used for all continuing education activities, including direct and joint provided, live and on-demand, and credit and noncredit.
Member Service
- Provides support/troubleshooting support to members who call with questions about using Rievent (LMS), who seek information about or payment for live educational activities, or who request certificates for participation in educational activities.
- Provides troubleshooting support to member-facing roles (e.g. Regional Patient Safety Risk Managers (PSRM), Regional PSRM Administrative staff, Member Support Team to resolve problems on 1st call questions; responds to 2nd calls; and monitors for trends and training needs for staff.
- Assists Administrative staff and CPE Manager with transactions and reports within PayPal and Rievent (LMS) e-commerce functions
- Monitors submitted evaluations for an activity to identify any that need attention of the Director and/or faculty
Product and Service Development
- During development activities, reviews, edits and enhances product and service materials created by PSRMsto align with policies and standards
- Coordinates with Marketing and with Business Development Departments to plan and deliver Surviving Litigation SeminarsMonitors submissions by external organizations for accuracy and quality of required documents for joint-provided continuing professional education activities. Identifies any questionable documents and works with the CPE Director, the PSRM if appropriate, and the joint provider’s staff to resolve problems or questions.; Ensures timely responses or notices to the planners for joint-provided activities.
- Fulfills requests from Patient Safety Risk Managers (PSRM) for information, training, or resources, including software applications and educational and promotional materials for their activities.
- Assists joint-providers and PSRMs with interpretation of accreditation-related requirements for continuing education.
PS Operations Effectiveness
- Assists department members during production of education activities and ensures compliance with education policies and procedures
- Collaborates on streamlining processes to enhance efficiency and quality of the work products and workflow.
- Monitors all requests and tasks for timely completions using the project management request system (RoboHead) and acts to resolve delays when necessary. Uses the project mapping/Gantt charting tools; changes requests in the system; tracks key performance indicators or baseline assessments; tracks problems and provides solutions; and works with pre-built and customized reports and dashboards.
- Reviews and monitors direct- and joint-provided CME/CE activities to ensure compliance with accreditation and certification standards.
- Prepares reports quarterly and upon request of attendance and evaluation of educational activities including participant feedback. Provides training to department’s administrative staff on use of software applications, troubleshoots , and seeks peer input on problem solving or improvements of the processes and applications.
- Coordinates promotion of CPE educational activities with Marketing, including identification of on-demand courses on the website and preparation of flyers and brochures, that increases awareness of educational activities.
- Trains PSRM staff on guidelines for branding, copyright, and CME when creating presentations, monitors compliance and provides feedback.
- Supports the CPE Committee by scheduling web conferencing and meeting room, distributing materials, taking minutes of the meetings, and participating in discussions.
- Monitors data collection for compliance with accrediting agency reporting requirements and uploads or enters data for reports to the ACCME, ADA, and Florida’s CE Broker.
- Assists in preparing accreditation-related materials for reapplications.
- Assists in identifying and evaluating software applications that improved operational effectiveness and data accuracy.
TDC technical knowledge and professional development
- Serves as the system administrator for project management and other software applications that support the CPE courses.
- Monitors functionality of the learning management, project management, audience response, and other software applications, by troubleshooting, providing training, and recommending or implementing enhancements.
- Maintains databases that track participants and educational activities. This includes manual and auto data entry to meet internal and external reporting requirements. Also includes indexing activities in the presentation library.
Other Duties as Assigned
- Participates in other identified projects and tasks as necessary
- Prepares reports related to education upon request by PS Leaders or other departments.
